Construction and infrastructure: control of vendors and contractors throughout the project
A construction project involves many material vendors, subcontractors and service providers, on several sites at once, with tight schedules and budgets. Segment brings everyone’s orders, site delivery notes, hour reports and invoices into one place, and matches every invoice to what was ordered and what was actually delivered.
- 50K+Vendors
- 500M+Invoices issued
- 250M+Orders
- 100+Buyers
What changes when you work through Segment
For the organization
- All orders to vendors and contractors go out from the ERP and are confirmed in the portal, by project and site.
- Every site delivery note and every hour report is linked to an order, so the project manager sees what was delivered and what was done before the invoice arrives.
- Every invoice is checked against the order and against the delivery or the reported hours. Double billing or a deviation from the order is stopped before payment.
- Connection to the ERP and existing systems (SAP, Priority, Oracle and others), with no double typing between site and office.
For vendors
- The material vendor or contractor sees all its orders from all sites and projects in one place.
- Delivery notes and hour reports are sent digitally and linked to the order, instead of papers collected at month end.
- Tracking of every invoice: received, approved, for payment. No calls to the office.
- Early payment after invoice approval, through RTMI: better cash flow for the contractor and the vendor.

The challenge
When documents arrive on paper and by email from many sources, it is hard to know what was ordered, what was actually delivered and what has already been billed.
Checking every invoice against the order and the delivery note by hand takes time, delays payment to vendors and hurts their cash flow.
From site to office: delivery notes and hour reports you can check
On a construction site documents are born in the field: a delivery note signed next to the truck, a contractor’s hour report. When they reach the office on paper or as a photo on WhatsApp, matching them to the invoice is done by hand and late.
On Segment’s platform the delivery note and the hour report are sent digitally and linked to the open order. When the invoice arrives, it is matched automatically to what was ordered and what was delivered or done, and gaps are flagged. The project manager approves on one screen, by permission.
Vendors and contractors who get paid on time
In construction payment terms are long, and small contractors absorb the delay. When an invoice is approved quickly, because it already matches the order and the delivery, the vendor can bring the payment forward and be paid right away, through our non-bank financing company, RTMI.
For the developer or main contractor this means more stable vendors and fewer stoppages on the project because of cash flow.

Frequently asked questions
Can we manage several projects and sites at once?
Yes. Orders, delivery notes, hour reports and invoices are assigned to a project and a site, and each manager sees what is in their responsibility by permission.
How are contractor hour reports handled?
Hour reports from contractors and service providers are collected in the platform, next to the orders and invoices, so they are easy to check before billing.
What is early payment for vendors?
A vendor can be paid right after an invoice is approved, instead of waiting for the usual payment terms (net 60 and so on). The service is provided by our non-bank financing company, RTMI.
Does the platform connect to our ERP?
Yes. The platform connects to the common ERP systems (SAP, Priority, Oracle, Matrix and others) and supports a range of protocols, such as API, REST, SOAP, SFTP and AS2, so data flows straight into your system with no double typing.
Do vendors need special software?
No. Vendors work in a friendly, secure vendor portal, or through a direct interface between their ERP and the platform. Our support team helps them get started.
